Please read all terms and conditions carefully before signing. You can expand each section below. By submitting this form you confirm that you have read and agreed to all terms on behalf of the entire travelling party.

Prices

If monetary exchange rates are necessary, they will be quoted on the current rate as of the day the Booking Form was returned. Prices quoted that include air requirements are based upon fair-market assumptions of flight rates. After receipt of your first deposits, Global Group Travel LLC will engage in air cost negotiation. If air costs exceed what has been included as a fair-cost assumption, Global Group Travel LLC reserves the right to increase the quote to meet the additional air fees. At this time, the Trip Leader has the right to authorize Global Group Travel LLC to proceed with the increased air fees, to cancel within 7 days with no penalty and all payments returned, or to elect to purchase the ground package only and facilitate flight arrangements independently.

Global Group Travel LLC guarantees that once you have booked your package and air rates have been confirmed, the price will not be changed, except in the event that you make changes to your tour, to the numbers travelling or the composition of your party, or to any specific requirements thereof, or in the circumstances described as: changes in transportation costs, including the cost of fuel, dues, taxes or fees chargeable for services such as landing taxes or embarkation or disembarkation fees at ports and airports, or changes in the exchange rate applied to your tour. However there will be no charge within 30 days of your departure.

Fees quoted for domestic trips and some short-haul destinations do not include baggage fees applicable for airlines. Any/all baggage fees will be required to be paid independently upon checking in at the airport and apply to both outbound and inbound legs.

Special Requests & Health and Safety

Any special requests must be advised at the time of booking. Whilst every effort will be made to arrange reasonable special requests with suppliers, we cannot guarantee that they will be fulfilled. We do not accept bookings that are conditional upon any special request being met.

The health and safety of travellers is of utmost importance to Global Group Travel LLC and its suppliers. Where safety equipment is provided and the traveller declines to use same, we reserve the right to refuse, curtail or alter participation of the traveller.

Travellers With Special Needs

In order for Global Group Travel LLC to best serve travellers with special needs, we must be notified at the time of booking. Global Group Travel LLC will make reasonable efforts to accommodate any special needs and/or advise of any restricted access to sites and attractions, but cannot assume responsibility for its suppliers and providers.

Dietary Requirements & Alcohol

It is important that you advise us of any dietary requirements or allergies at booking, or at least 14 days before the arrangement commences. Global Group Travel LLC cannot be held responsible for any allergic reaction if not informed prior to the tour.

The legal drinking age varies by country: UK, Australia, South Africa — 18 years; Canada (most provinces) — 19 years; Alberta, Manitoba and Quebec — 18 years; United States — 21 years. Global Group Travel LLC will not accept responsibility for non-admittance due to age or identification. In the United States it is a felony conviction to provide anyone under the age of 21 years with alcohol.

Payment Terms

  • Payment must be made in accordance with the instructions provided by Global Group Travel LLC.
  • A non-refundable booking deposit of 20% of the full cost is required to confirm arrangements. Failure to pay the deposit by the date indicated may result in cancellation without further notice.
  • If payment is not received in full and on time, we reserve the right to treat the booking as cancelled and cancellation charges will apply.
  • All payments must be by credit card or bank transfer. Bank charges are the client's responsibility. Credit card transactions are subject to a 5% handling charge.
  • The 20% initial deposit confirms that the client has read and agrees to these Terms and Conditions. The remaining 80% is due two calendar months prior to the arrival date, or as agreed.

Confirmation

Bookings are only guaranteed after full payment has been made. A binding contract between you and the suppliers of the services will come into existence as soon as confirmation has been issued. If you believe any details on the confirmation are wrong, you must advise us immediately.

Our role is as a Destination Management Company (DMC) and agency or booking intermediary between you and the relevant hotels, ski resorts, transportation services, eating establishments, entertainment venues, ferry companies, and other suppliers of services. We do not own or operate such services and the suppliers' standard conditions of contract apply to your contract as well as these terms.

In so far as the arrangements constitute a "package" as defined in The Package Travel and Linked Travel Arrangements 2018, you are the "organizer" of that package and it is your responsibility to ensure full compliance with the Regulations.

This contract and all matters arising out of or in connection with it is subject to the laws of the State of Maine, USA, without regard to conflicts of law principles. Each party consents to the jurisdiction of any state or federal court sitting in Maine, USA. All claims must be submitted in writing and received by Global Group Travel LLC no later than fourteen (14) days after completion of the tour.

The prices quoted and in supplementary promotional material are subject to change without notice. The price of arrangements will be confirmed on booking. Our suppliers reserve the right to levy surcharges to reflect governmental action, currency fluctuation or increased taxes or suppliers' charges at any time. We will notify you of any such increase as soon as we become aware of it.

We endeavour to ensure the accuracy of all information and prices in our advertising material. However, occasionally changes and errors do arise and we reserve the right to correct them. You must check the current price and all other information relating to the arrangements you wish to book before the booking is confirmed.

You can cancel your booking at any time. Your cancellation will be accepted when Global Group Travel LLC receives written confirmation by email from the leader responsible for your party.

Standard Cancellation Charges — Single-Day Experience

  • Cancelled within 4 weeks prior to departure: 50% charge.
  • Cancelled within 28 days prior to departure: 100% charge.

Standard Cancellation Charges — Multi-Day Package

  • More than two calendar months prior to itinerary start date: 20% deposit retained.
  • 69 to 30 days before departure: 50% of total cost retained.
  • 29 days or less before departure: 100% of total cost retained.

Note: Tickets for sporting events (including hospitality tickets for football, basketball, ice-hockey, etc.), concerts or similar major events are non-refundable and non-transferrable.

We are happy to make changes to your booking free of charge provided there is availability on new dates/times. If a price discrepancy arises (e.g. due to higher standard accommodation or changes in party numbers) you will be required to pay the extra balance.

All tour itineraries are quoted on a guaranteed minimum number of travellers. If numbers rise or fall, Global Group Travel LLC reserves the right to adjust the cost accordingly.

Because we act purely as agency and/or booking intermediary between you and the suppliers of your arrangements, we have no power to prevent an amendment or cancellation by one or more of them. We therefore reserve the right to amend or cancel part or all of your arrangements at any time. In that case we will do what we reasonably can to assist you (but without cost to ourselves) but owe you no other liability whatsoever. At our discretion, we will use reasonable endeavours to provide a suitable alternative and/or a replacement of equivalent standard.

Whilst we have chosen your suppliers using reasonable care, because we act as an agency and/or booking intermediary between you and the suppliers, we have no control over them and so are unable to accept liability or responsibility for any aspect of the arrangements making up your booking.

We have no liability for any defect in those services, nor for any damage, loss or injury whatsoever which may be incurred by any persons as a result of such defect or arising out of or in connection with such services; or for any act or omission of the supplier of the services.

We will not be responsible or pay compensation for: (1) services or facilities which do not form part of our agreement or where they are not advertised by us; (2) any damage, loss or expense which we could not have foreseen based on the information given to us prior to confirmation; or that relate to any business losses.

Limitations of Liability

(a) Luggage or personal possessions and money: All baggage is carried at owner's risk. This applies to all sporting equipment. Global Group Travel LLC does not accept responsibility for non-compliance with airline baggage allowance.

(b) Claims falling under International Conventions: In the event that we are found liable in relation to any transport or accommodation, the maximum amount of compensation will be limited to the maximum amount the carrier or accommodation provider would have to pay under applicable International Conventions or Regulations.

(c) Other claims not involving injury, illness or death: The maximum amount we will have to pay in respect of all such claims is twice the price paid by or on behalf of the person(s) affected in total. This maximum amount will only be payable where everything has gone wrong and no benefit at all has been received from the arrangements.

Any complaints arising out of any arrangements must be reported to the relevant local supplier immediately. You must make all reasonable efforts to resolve your complaint with the supplier concerned as soon as is practically possible. If the problem cannot be resolved locally you must contact us and we will then try to assist. If the problem is not resolved to your satisfaction, you must provide us with full details in writing within 14 days of the end of the tour. We will not accept any liability for any claims or complaints if you have not acted in accordance with this clause.

If in our opinion or in the opinion of any person in authority, you or any person in your group behaves in a way that is causing or is likely to cause distress, danger, damage or annoyance to any third party or property, or to cause a delay or diversion to transportation, we and/or the supplier reserve the right to terminate the arrangements immediately. In the event of such termination our responsibilities to you will cease and you will be required to leave the service immediately. We will have no further obligations to you and will not meet any expenses, costs or losses incurred as a result. You may also be required to pay for loss and/or damage caused directly to the applicable supplier prior to departure from the service.

From time to time we (or our tour reps, guides and drivers) may take photographs of you during your tour. A professional photographer or video professional may also join a tour to take photographs and video footage. Any such material remains the property of Global Group Travel LLC and can be used for promotional purposes in perpetuity (and within our distribution partners, e.g. online travel agents). By agreeing to take part in a tour, you are agreeing to the potential of being in footage which can be used for our website, social media or general marketing.

An exception is available for any person who has signed an exemption from being photographed prior to the commencement of the tour. Drone filming or the use of drones by customers is not permitted on any tour without prior approval.

Except where otherwise expressly stated in these booking conditions, we will not be liable or pay you compensation if our contractual obligations to you are affected by any event which we or the supplier(s) of the service(s) could not, even with all due care, foresee or avoid. These events can include but are not limited to: war, threat of war, civil strife, terrorist activity and its consequences or the threat of such activity, riot, the act of any government or other national or local authority including port or river authorities, industrial dispute, lock closure, natural or nuclear disaster, fire, chemical or biological disaster, adverse weather, sea, ice and river conditions, and all similar events outside our or the supplier(s) concerned control. Advice from the UK Government Foreign Office or any other foreign government to avoid or leave a particular country may constitute Force Majeure.

It is the responsibility of the client to inform all travellers that:

  • A valid passport with a minimum of six months validity is required for international travel.
  • All travellers must consult with their appropriate consulates to determine if visas are required. Securing visas is the sole responsibility of the traveller, irrespective of nationality.

Mandatory travel insurance is required for group bookings and details of Key Policy pages must be provided prior to departure. Global Group Travel LLC strongly suggests that the client advise each traveller to purchase an appropriate comprehensive personal travel insurance policy when taking part in any of Global Group Travel's tour itineraries/arrangements. Global Group Travel LLC does not provide personal insurance cover.

Assumption of Risk Statement

I, the Tour Leader, on behalf of myself and all members of the travelling party, acknowledge and accept that participation in tour activities organised by Global Group Travel LLC — including but not limited to skiing, snowboarding, adventure activities, water sports, guided excursions, and transportation — involves inherent risks of injury, illness, property damage, or death that cannot be fully eliminated regardless of the care taken.

By proceeding with this booking, I confirm that all members of the travelling party voluntarily assume all risks associated with participation in tour activities, whether those risks are known or unknown at the time of booking. I further confirm that all travellers are physically and medically fit to participate in the booked activities, and that Global Group Travel LLC has been made fully aware of any relevant medical conditions, dietary requirements, or special needs.

I acknowledge that Global Group Travel LLC acts as a Destination Management Company and booking intermediary and is not liable for the acts, omissions, negligence, or default of third-party suppliers. To the fullest extent permitted by applicable law, I release and hold harmless Global Group Travel LLC, its officers, employees, agents, and representatives from any and all claims, damages, costs, or losses arising from participation in tour activities.
Important — Please read carefully before signing.

By signing below, I, the Tour Leader, certify and confirm the following on behalf of myself and all members of the travelling party named in this booking, for whom I am duly authorised to act:

1. Authority & Agreement: I confirm that I have the full authority of all members of the travelling party to make this booking on their behalf, and that I have read, understood, and agree — on behalf of all travellers — to the General Terms & Conditions and the Conditions of Insurance & Waiver as issued by Global Group Travel LLC. Our booking is made upon and subject to those terms.

2. Payment Terms: I understand and accept that immediate payment in full will be required for any changes made within 30 days of the travel date that result in increased invoicing. I further acknowledge the standard payment schedule: a 20% non-refundable deposit is required to confirm the itinerary, with the remaining 80% due no later than two calendar months prior to departure, or as otherwise agreed in writing with Global Group Travel LLC.

3. Cancellation Policy: I acknowledge the cancellation charges as follows — cancellations more than two calendar months prior to departure: 20% deposit retained; 69–30 days before departure: 50% of total cost retained; 29 days or less before departure: 100% of total cost retained. Tickets for sporting events, concerts and similar events are non-refundable and non-transferrable.

4. Photography & Filming: I acknowledge, on behalf of all travellers, that Global Group Travel LLC and/or its representatives may photograph or film members of the group during the tour, and that such material may be used for promotional purposes. Any traveller wishing to be exempt must submit a written exemption request prior to departure.

5. Electronic Signature: I understand that my typed name below constitutes a full and legally binding electronic signature and, by typing my name and date, I confirm full agreement to all terms and conditions stated herein, forming a legal contract between the travelling party and Global Group Travel LLC.
